Archive Gmail Emails

When you are using other email service, like a Microsoft Exchange server work email, then you might have encountered saving an archive of old emails. This is a standard feature of such corporate email and server, to maximize records of emails and to lessen the workload of the email client for better performance. Such performance is critical when searching an email item, and ensuring fast email tracking. PST files are handy. It is easily opened in Ms Outlook, and can be the answer to our problems in storage.

If you happen to be using an Outlook email client, just open your Gmail email inside outlook to start the built-in archive tool. That is how easy it is to free up space on my gmail account, and still keep an archive of old emails. Steps:

  1. Open Control Panel, then go to Mail by searching for the word “Mail”. Add the Gmail email, then fill up your gmail password.

Use the following settings for IMAP: imap.googlemail.com for Incomming server, smtp.googlemail.com for outgoing server, under advanced- set incomming port to 993 for SSL, and lastly set outgoing port to 587 for TLS. This is the setting that worked as of August 2018, and is included in the Gmail support website.
  4. Click Finish, and open MS Outlook email client.

To start the archiving of the Gmail email, go to your gmail inbox inside Outlook app. Go to File> Open & Export > then Import. Export. Select “Export to a file”. Name it as your archive, and find the backed-up emails for removal from the Outlook Gmail mailbox.
